​Retention Policy

It is important for you to know our policy on securing your documents during our term of service (which begins at your incapacity, resignation, or death) and after our term of service (at the termination of your Trust or when our services for you end).

During Our Term of Service 

We communicate with your service providers and your beneficiaries via email, regular mail, in person, telephone, and fax.  All of the transactions, in all of your accounts, are posted regularly to our specialized accounting software. We handle all of your personal property and real property transactions. Just imagine all of the paper and emails our team processes every week! These transactions are completed by our trust administration and accounting staff in our main administrative offices, which are locked and pass-code/alarm protected every night.

Confidential

Your confidential files are kept in filing cabinets (originals in our fire safes), and all paper correspondence (unless it’s junk mail) is scanned to our secure multi-terabyte storage server.  Once our term of service is complete, any remaining paper files (with originals) are scanned for electronic filing. We may destroy the records at any time after 10 years have elapsed from the date of placement in offsite storage. The average time, from the first date of service to the destruction of Trust records, is about 15 years.
